What You'll Do
Project Management Support
- Issue material purchase orders and coordinate deliveries with vendors.
- Generate plant/tree lists for nursery bids, conduct bidding, and execute orders.
- Master Sage 100 Contractor software for all Project Coordinator functions.
- Assist Project Managers and Construction Managers with project support.
- Attend site meetings and visit project sites as needed.
- Complete project reports via PlanGrid.
- Track and submit RFIs to designers during estimating and construction.
- Organize and upload construction documents; follow up on client change orders.
- Support project closeout with PMs and maintenance teams.
- Prepare and submit submittal packages and warranty documents.
- Generate accurate material takeoffs using STACK software.
- Obtain permits from cities or counties.
- Obtain quotes from vendors and subcontractors.
- Provide weekly deliverables reports and daily check-ins with PM.
- Attend bid openings or pre-bid meetings.

What Success Looks Like
- Procurement & Vendor Coordination: Accurate POs, timely deliveries, strong vendor relationships.
- Project Documentation & Reporting: Organized, up-to-date documents; timely reports; RFIs tracked.
- Software Proficiency: Excel in Sage 100, PlanGrid, STACK, and MS Office Suite.
- Team Support: Proactive, responsive, and reliable for PMs and CMs.
- Permitting & Compliance: Secure all permits before mobilization.
- Project Closeout: Submit all closeout docs and resolve punch list items on time.
What You Bring
- Must-Have Qualifications:
- 5+ years in project coordination or progressive professional experience.
- 2+ years of leadership experience (professional, sports, military, school).
- Proficiency in MS Office Suite and ability to learn ERPs.
- Strong organizational discipline and attention to detail.
- Excellent interpersonal and logical problem-solving skills.
- Methodical, structured approach to work.
- Preferred:
- Experience issuing material POs and coordinating deliveries.
- Field experience in landscape or similar trade.
